BUILDING A HIGHLY VISIBLE CONTINGENT WORKFORCE PROGRAMME IN RETAIL
THE CHALLENGE
MASTER VENDOR AND VMS
A large specialty retailer of children’s apparel and accessories relied on outsourced management and a Vendor Management System to oversee its large contingent workforce.
However, they were not satisfied with the service the company was receiving, outdated technology, inability to fill positions, and lack of visibility into their contingent workers, workflow, and budget. The company wanted a more attentive partner who could provide high-quality service and fill the roles in a visible way.
THE SOLUTION
Atrium started working with the retailer as a sub-vendor in 2018. However, when the need arose for a new partner who could offer white-glove service, Atrium was quickly selected as their Master Vendor. Throughout the collaboration, Atrium effectively managed and processed payroll for all temporary positions in various corporate departments, including design, finance, IT, reception, administration, HR, and merchandising.
Within 45 to 60 days, Atrium was able to efficiently set up the Master Vendor Programme (MVP) and tackle the workforce management issues that the company was previously facing.
- Established a comprehensive onboarding and offboarding process
- Produced informative one-page guides for both Hiring Managers and Associates
- Provided a weekly invoice for all services rendered
- Created a customised weekly report for finance, which included headcount, invoicing, and hours worked
- Developed interactive requisition and extension forms for payroll, as well as one for temporary labour
In 2019, the company acquired another retail chain, which added complexity to Atrium’s operations and opened up more high-level temporary designer positions. Atrium closely collaborated with the client’s team to arrange international travel for these contract workers. Through an effective partnership with HR & Finance, Atrium successfully implemented a detailed travel process that considered hours worked, pay rates, timesheets, overtime, and expenses.
